Arriviana Privacy Policy
1. Who We Are
Arriviana (“we,” “us,” “our”) provides settlement support services to newcomers to Canada, including driver’s license exchange guidance, school and childcare placement assistance, healthcare and OHIP access support, and resume and career localization services. This policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have.
This policy applies to visitors of our website and to clients who use our services.
2. Information We Collect
We only collect personal information that is reasonably necessary to provide our services. Depending on which service(s) you use, this may include:
Contact information: name, email address, phone number, mailing address.
Identification and immigration documents: passport, permanent residence card, existing driver’s license, immigration/study/work permit documents, and similar records, where needed to support services such as the Driver’s License Exchange or Healthcare & OHIP Access modules.
Information about your children: name, age, school and daycare records, and related details, where you engage our School & Childcare Placement service on their behalf. We collect this information from you, the parent or legal guardian, not directly from a child.
Payment information: billing name, address, and payment details, processed through our third-party payment processor. We do not store full card numbers on our own systems.
Communications: any information you provide when you contact us by email, phone, or through our website’s contact form.
We do not knowingly collect personal information from children directly, and our services are not directed at or marketed to children.
3. How We Use Your Information
We use your personal information to:
-
Provide the settlement services you request and communicate with you about them;
-
Verify your identity and eligibility where a service requires it (e.g., confirming documents for the license exchange or OHIP process);
-
Process payments for services;
-
Refer you, where appropriate, to third-party licensed professionals (such as immigration consultants, lawyers, or accountants) for matters outside our scope — note that Arriviana does not provide immigration or legal advice, as we are not a licensed immigration consultant or paralegal;
-
Send you service-related communications (confirmations, reminders, updates about your file);
-
With your separate consent, send you marketing communications such as newsletters or promotional offers;
-
Improve our services and website; and
-
Meet legal, regulatory, and accounting requirements.
We limit our collection, use, and disclosure of personal information to what is reasonably necessary for these purposes, consistent with our obligations under PIPEDA.
4. Marketing Communications and Your Consent
We will only send you marketing emails (such as newsletters or promotions) if you have given express, opt-in consent — for example, by checking an unchecked box at sign-up or booking. Service-related messages (such as appointment confirmations or updates on a service you’ve purchased) are not marketing and do not require separate consent.
Every marketing message we send will include:
-
Our business name and contact information (including a physical mailing address);
-
A clear and functional way to unsubscribe, which we will honour within 10 business days.
You can withdraw your consent to marketing communications at any time by using the unsubscribe link in any email or by contacting us directly (see Section 9). Withdrawing consent will not affect service-related communications tied to a service you’ve already booked.
5. Cookies and Website Analytics
Our website uses cookies and similar tracking technologies to operate properly and to help us understand how visitors use our site. This may include:
-
Essential cookies, needed for core site functionality (e.g., navigation, security, remembering form progress);
-
Analytics cookies, which help us understand visitor traffic and behaviour so we can improve the site and our services.
You can control or disable cookies through your browser settings at any time, though this may affect how parts of our website function. Where required, we will present a cookie-consent banner on your first visit allowing you to accept or decline non-essential cookies.
6. Who We Share Your Information With
We do not sell your personal information. We may share it with:
-
Payment processors, to process transactions securely;
-
Licensed professionals we refer you to (immigration consultants, lawyers, accountants), only with your knowledge and for the purpose of that referral;
-
Government bodies or institutions, only where necessary to deliver a service you’ve requested (for example, submitting documents as part of a driver’s license exchange or OHIP registration) and with your authorization;
-
Service providers who help us operate our business (e.g., website hosting, email delivery), under agreements requiring them to protect your information and use it only for the purposes we specify;
-
Where required by law, such as in response to a valid legal request.
7. Data Storage and Security
We use reasonable administrative, technical, and physical safeguards — proportionate to the sensitivity of the information — to protect your personal information against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Retention and Disposal
We retain personal information only as long as necessary to fulfill the purposes it was collected for, or as required by law (including tax and accounting record-keeping requirements). When information is no longer needed, we securely delete or destroy it.
9. Your Rights
Under PIPEDA, you have the right to:
-
Know why we collect, use, or disclose your personal information;
-
Access the personal information we hold about you;
-
Request correction of inaccurate or incomplete information;
-
Withdraw consent to our collection, use, or disclosure of your information (subject to legal or contractual restrictions), including withdrawing marketing consent at any time;
-
File a complaint about how we handle your personal information.
To exercise any of these rights, contact us at: info@arriviana.ca, +1 (365) 378-3571, or 203-165 Queen St S, Hamilton, Ontario, L8P 4R3.
If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca).
10. Changes to This Policy
We may update this policy from time to time to reflect changes in our practices or in applicable law. We will post the updated version on our website with a revised “Last updated” date. Continued use of our services after an update means you accept the revised policy.
